Permissions

Permissions Screen

The "Permissions" page allows you to grant permission to groups so that they have varying levels of control over your event. When you create an event in Sundial you are the only person able to view, modify (edit) or own (publish) this event unless you have granted permissions. Permission are granted by indivisual users to security groups (groups of Sundial users with the same settings) rather than to other indivisual users. Therfore anyone in the group to which you have granted permissions can view, modify, or own your event depending on the level of permission you have granted the group.

Adding and Removing Security Groups

There are two ways to grant permissions to groups:

  1. You can set Default Permissions in your Preferences manager.

Default permission are automatically granted on every event you create unless specifically removed on the permissions page (see below).

  2. You can grant permission to groups on a per event basis using the permission page in the advanced view of the Event Manager.

Within the "Add Groups" area of the "Permissions" screen, you will see a list of all the security groups available to you. To grant permission to one or more security groups, check the box to the left of the name and click the "add group(s)" button. These groups will then appear in the "group permissions" area on the screen. Permissions (view, modify, own) can then be granted to the selected groups, using checkboxes in the table.

Please note: permissions are cumulative, therefore, if you grant a group "own" permission, you do not need to check "modify" or "view." See below for an explanation of each permission level.

There is one special group displayed called "local.Public/Everyone". Everyone in the world is a member of local.Public/Everyone. If this group is granted select permissions on an event, anyone in the world will have the permission granted.

Granting and Rescinding Permissions To Groups

Once groups have been added to an event, one can grant and rescind permissions by placing or removing a checkmark within the checkboxes beneath a permission's column.

Permissions are grouped by function. Permissions that may be granted to or rescinded from groups include the following:

Public Viewability

  • View Event

Grants a group permission to see the event prior to its being published and, if registration is offered, to register for the event.

  • Public Attendee

If an event offers event registration, grants a group permission to view the public attendee list of all registrants who have opted to allow information about themselves to be displayed.

Registrant Management

  • View Registrants

Grants a group permission to view the full information of event registrants within the Registration Management area of the Event Editor.

  • Modify Registrants

Grants a group permission to modify the information of event registrants within the Registration Management area of the Event Editor.

  • Email Registrants

Grants a group permission to use Sundial's built-in email functions (e.g. email all registrants now or establish an auto-reminder email) to communicate with registrants.

  • Export Registrants

Grants a group permission to use Sundial's event registrant export function to export a delimitted text or XML file.

Editing

  • Modify Event

Grants a group permission edit an event entry.

  • Own Event

Grants a group permission to publish or retract an event to a given audience.

Please note: if a user is a member of multiple groups that arre granted various levels of permission, the user will have the hightest level of permission granted among those groups.

To remove permissions, check the box next to the group and then click "remove." If you want to reduce the level of permision, but do not want to remove permission altogether, you must still follow this procedure, and then add the group and the new level of permission back. When you have finished granting and removing permissions be sure to click the "save" button.

To reset permissions to original levels, click the "cancel" button.

Please note: permissions granted or removed take effect immediately after saving.
