How to Change an Event's Publication Period for a Target Audience

By default an event is visible immediately upon its approval for publication to a target audience and is removed from visibility when its end date & time elapses.

Event suggestors can not only suggest an event, but suggest the period of time during which an event should be visible. Event approvers can override a suggestor's publication period or establish a custom publication period for an event. A publication period is defined by a start date & time as well as an end date & time on a per target audience basis.

At the start of the publication period for a target audience, the event becomes visible to its target audience. Prior to this time, though the event may have been approved for publication, it was not visible. At the end of the publication period for a target audience, the event is no longer visible to its target audience.

There are two areas of Sundial in which an event's publication period may be set for a target audience:

  • Within the Publication Manager

  • Within the "Publish Event" area of the "Event Manager"

Within the Publication Manager

  1. Within the Event Navigator, click the yellow Publishing button. The "Publication Manager" window will open displaying the target audiences for which you hold the approver role.

    Note: This option only appears for those who are an approver for one or more target audiences.

  2. The default view of the Publication Manager is to group events by target audience. Expand the audience for which you wish to set an event's publication status.

  3. Locate the event within the expanded target audience's publishing queue.

  4. Using your mouse, hover over the event's publication dates for the expanded target audience. A checkbox will appear prompting you to change the event's publication period for that target audience. Place a checkmark in this Change checkbox.

  5. You'll be offered the ability to specify the event's publication period. Click Specific to change the default publication period for the event.

  6. In the "From:" area, specify the publication period's start date & time.

  7. In the "To:" area, specify the publciation period's end date & time.

  8. When finished, click the save times button within the actions area. The list will refresh and display the changed publication period for the event

Within Event Manager > Publish Event

  1. Open the event for which you wish to set a publication period for a target audience. The event will open within Sundial's Event Manager.

  2. Click "Publish Event" in the navigation bar. The present publication status of the event with respect to target audiences will appear.

  3. From the list of views presented for the "Publish Event" action list, select the "Decisionable" view. The list of audiences for which you are an approver will appear.

  4. Locate the target audience for which you want to change the publication period.

  5. Using your mouse, hover over the target audience's publication dates. A checkbox will appear prompting you to change the event's publication period for that target audience. Place a checkmark in this Change checkbox.

  6. You'll be offered the ability to specify the event's publication period. Click Specific to change the default publication period for the event.

  7. In the "From:" area, specify the publication period's start date & time.

  8. In the "To:" area, specify the publciation period's end date & time.

  9. When finished, click the save times button within the actions area. The list will refresh and display the changed publication period for the event.
